    To setup your contacts database, ASI need to have a collated list of all the fields that you have in your existing database, and any others you might want to add or change. Provide your wish list of fields A list of fields is needed for your companies database and your contacts database. We recommend no more than 50. The first step is for you to create a wish list that looks something like the following.

  • Domain Name Management

    Managing domain names can be a complicated business so we recommend that IVT take over technical control (but not ownership) of your existing domain on your behalf, allowing us to make the changes necessary to keep your site online. This will most likely involve a process called "re-delegation", which means that the domain will be linked to our servers so that we can perform updates to it as required.

    We normally stick to our preferred partners, however you may want to BYO designer. This is a guide for those designers! Process We have found this approach to be quite efficient. Here's a quick summary: A comprehensive design briefing takes place attended by delegates from all parties The designer prepares two initial homepage concepts ASI must approve these before the client sees them to ensure they are suitable for our platform Following client feedback/revision a final homepage design is approved (see Approval below) and in many cases signed off (see Sign Off below) so we can make a start on the build The designer then prepares the inner page designs (see What to Include below) Again, ASI must approve before the client sees them! Following client feedback/revision the complete final design is approved and signed off by the client Designer then provides final PSD or Sketch documents to ASI (see Handover below) What to include in the design A homepage design typically features the following elements: Header with logo, menu(s) incl drop menu, search, etc.

  • Social Media Engagement Policy

    Social Media Engagement Policy Participation in any of the IVT's social media sites is governed by this policy which is aimed at providing open and transparent guidelines for participants. We DO NOT moderate comments, replies, links, etc. However an item will be removed if it is considered to: Be abusive, off-topic, irrelevant, or use excessive foul language Include attacks including comments that celebrate the death or illness of any person, public figure or otherwise Contain racist, sexist, homophobic and other slurs Contain solicitations and/or advertising and/or are overt self promotion Be thread spamming (posting the same comment on multiple sites or groups) Be posted with the explicit intention of provoking other group participants or the staff of IVT Make claims that are false, misleading or exaggerated.

  • Import Pro-Formas

    Your project manager will provide you with data proformas for loading data into your new site. These were created as per the current field configuration documented, so shouldn't change moving forward unless the setup needs to be altered. companies.csv This file will contain one row for each organisation in your database. This includes any member organisations, and organisations that your contacts work for.

  • Financial Integration

    ASI systems store all financial transaction in the Orders module. Each order contains the users billing details, shipping details, item details and transaction details. To achieve integration with your financial system, ASI can customise an export of the orders list to match the requirements of your financial software. The exported file contains details of each order item, along with billing details.

  • Bank eMerchant Account

    In order to setup live transactions on your site, most payment gateways will require you to first have your bank account enabled for electronic transactions. To do this you need to set up what's called an eMerchant facility on your bank account. Get in contact with your bank and discuss the process for applying for an eMerchant facility. The bank will typically request you to complete numerous forms, and possibly provide a security deposit.

  • Launch Communication Message

    Once you have gone live you need to tell your contacts/members about your great new site! Prepare your launch email and let ASI know it's ready Typically we set sites to go live on Friday. If you leave the weekend for the domain name change to apply, you can safely send out a launch communication on Monday. This ensures that when everyone goes to your site they will see the new site, and not your old site.

  • Membership Types

    Membership Categories, Types and Pricing Options Each level of Membership in Association Online is configured as a Type. Membership Types are setup specifically to handle the membership period, prices, benefits, etc so that your membership database works as efficiently as possible. Membership Types are categorised on the front end of the site for easier navigation through the signup process. Each Membership Type can have multiple levels of pricing on it, these are referred to as Pricing Options.

  • Import Requirements

    Requirements For your implementation, ASI needs to know what kind of data you need to have imported into your system. For most clients data imports will be required for: Company records Contact/people records Membership records Some other possible data imports include: Secondary members (for organisational memberships) Historical event records Historical event registrations Historical CPD records (if option purchased) Formats The nominated data will need to be in a spreadsheet format to enable import.

  • Responsive Website Content Guidelines

    General Content Prioritize content. Focus on the main content first! What is the most important information on the page? This should be the first content that draws the user’s attention. Consider the hierarchy of the content in smaller viewports. Parallel content blocks on the desktop will be adjusted in size and stacked vertically on a mobile device. What is the order of the content that needs to displayed? Avoid information clutter.
